How to File Your Insurance Claim

Our office is only able to act as an intermediary between you and the insurer. We do not file claims or assist in filing them beyond supplying a cancellation letter directly to the insurer upon request. It is the responsibility of the policyholder (you) to file the claim. If the insurer requires information from us, they will request it directly. While we can provide relevant information, you should already have most of the necessary documentation for your claim. The only documents we provide are letters on our letterhead confirming your cancellation date and refund status.

Documents You May Need for Your Claim

Below is a list of documents that insurers commonly request. You are responsible for gathering and submitting all but the agency statement:

  1. Final Travel Invoice
    • A copy of your final invoice (or receipt) showing the cancellation date and any penalties incurred.
    • The invoice from wetravel.com does not include cancellation details. However,
    • You can find this information in your booking agreement, which was emailed to you with your confirmation email at the time of booking.
    • You may forward this email to your insurer with your claim number or if they prefer make and send a .pdf a copy if preferred.
  2. Terms and Conditions
    • A copy of the cancellation penalties from the Tour Company, Travel Supplier, Cruise, and/or Airline.

    • When you booked, by email you also received a booking agreement from wetravel.com, which outlines cancellation dates and penalties.
      • You can copy and paste this agreement into a .doc or .pdf file for submission.
  3. Payment History
    • A list of payment dates and amounts is available in your wetravel.com account.
  4. Agent Cancellation Statement
    • A letter confirming the date you requested to cancel your trip. We will provide upon request from the insurer.
  5. Refund Documentation
    • Copies of refund checks or credits received from travel suppliers.
    • If you have not received any refunds, your insurer will request a letter from us to verify this fact.
    • We will only provide this statement directly to the insurance company upon their request.
  6. Original Cruise Invoice
    • A copy of the original invoice showing the total tour or cruise cost.
    • This was included in your confirmation email from wetravel.com immediately after booking.
    • Our office does not keep copies of invoices sent by wetravel.com. If you need another copy, please request it directly from them.
  7. Transportation Tickets (if not purchased as part of a tour or cruise package)
    • Copies of airline, train, or entry tickets showing:
      • Ticket number
      • Travel dates
      • Cost
    • You must obtain these from the service provider where you purchased your tickets.
  8. Airline or Train Invoices
    • A copy of the invoice or e-ticket receipt showing the cost of the ticket.
  9. Proof of Trip Payments
    • Copies of cancelled checks, cash receipts, bank statements, or credit card statements showing payments for travel arrangements.
    • These are personal financial records; only you will have copies of these documents.
